Job Description

ABOUT EUROCHAM 

The European Chamber of Commerce in Cambodia is a not-for-profit organisation funded by the European Union. Our mandate is to enhance trade and investment relations between the EU Member States and Cambodia through a range of advocacy initiatives, outreach activities, and business support services. We are seeking applications from individuals with a highly analytical mindset and excellent writing and research skills to become our Junior MarketResearch Analyst. This position sits between the business and political spheres and will involve supporting the entry of European companies into the market and supporting the EuroChamteam in representing the interests of the European business community vis-à-vis the Royal Government of Cambodia.

Reporting:

The Junoir Admin Assistantreportsdirectly to the accountant, under the overall authority of the Executive Director.

Position Summary:

The Junior Admin Assistantfocuses specifically on providing admin support to the entire team. She or he will be principally responsible for admin, and logistic tasks. To accomplish this task, the recipient works with the accountant to develop and implement administrative processes.

JOB DESCRIPTION

The recipient is expected to implement all of the administrative activities that facilitate the smooth running of the office.

Logistic Tasks:

  • Participating –on request -in the organization of monthly events and forums, notably for logistic
  • Liaising with the landlord and maintenance team•Liaising with the IT team
  • Maintaining the condition of the office and arranging for necessary repairs
  • Organizing the office layout (stationery, office supply, kitchen supply, furniture,and equipment)•Inventory of supplies
  • Booking transports and accommodations needed
  • Managing various corporate accounts, notably:
    • Grab,
    • Smart,
    • Internet services providers (ISP), Premises insurance

Reception Tasks:

  • Acting as focal point responding to email and phone calls 
  • Orientation of the visitors
  • Managing the meeting-room bookings and meeting-rooms set-up
  • Arranging appointments and organizing meetings
  • Managing the Led AdvertisingDisplayTotem

Administrative Tasks: 

  • Liaising with local authorities, clients, and suppliers
  • Updating the information hub regarding templates and key team documents (Teams)
  • Letters’ recording•Contracts’ classification and recording
  • Managing and updating the inventory (equipment, furnitures..) HR Tasks

HR Tasks:

  • Job announcements
  • Recording HR documents (notably Job announcement JD, Letter of motivation or Cover Letter, CV, Candidature Evaluation Form, ID/Passport, corporate ID picture, contracts, annual performance review, termination or resignation letters, employee handover forms, employment certificate)
  • Maintaining HR Locker system and assisting in editing timesheet
  • Providing team members with building passes and business cards
  • Filling the contract templates for new employees (in Khmer and English)
  • National Social Security Fund (NSSF) employees registration
  • Informing LabourAutomated Central Management System (LACMS) MoLVT registration
  • Ensuring the Business Visa Extension (for foreigners only)
  • Preparing the annual Foreign Employees quota request with the MLVT
  • Updating the shared Office Directory
  • Preparing Employment Certificate
  • Securing medical appointments for Health certificates for work permit renewal request with MoH certified hospitals
  • Organizing the Induction process for new employees

Support to the Finance Team:

  • Following up on AR collection 
  • Liaising with Grab delivery
  • Following-up / collect payment

General Support:

  • Other tasks as necessary 

 

 

 

 

 

 

 

Requirements
  • Adaptability and strong willingness to learn
  • Strong organizational skills, ability to switch between multiple tasks and retain knowledge across a broad range of topics
  • Ability to maintain confidentiality with respect to the organization's internal rules
  • Completed an academic degree or a related vocational training
  • Knowledge of Microsoft Office
  • Ability to develop and leverage a network
  • High levels of accuracy and attention to detail
  • Good level of English & Khmer;

Desirable 

  • Previous similar experience or relevant internship
