Job Description

RESPONSIBILITIES

The Executive Assistant provides high-level administrative support to the Executive, liaising with the management team to guarantee bi-lateral and fluid communication, acting as a gatekeeper to optimise Executive’s time.

 

MAIN TASKS

In order that the Executive is able to make an efficient and appropriate use of his time, the EA tasks would be the following

  • Maintain diary, arrange meetings and appointments and provide reminders
  • Make travel arrangements when necessary
  • When required, attend meetings and take dictation and minutes and accurately enter data
  • Produce reports, presentations and briefs
  • Develop and carry out an efficient documentation and filing system
  • Work closely with each Government bureau
  • Efficiently filter requests from Clients, Visitors and the Management Team, to ensure that Managers benefit from the best support to succeed in their mission
  • Monitor emails, prioritise and submit for attention urgent matters for Executive’s review or action, in line with important deadlines and business requirements
  • Organise small events and logistics (ceremonies, meetings with clients…)

 

In order for the Executive to have a clear and up-to-date view of the expenses, the EA will be responsible to:

  • Follow-up on the budget on a regular basis with the CFO, consolidate the data and provide a precise report, update forecasts vs actuals in order to identify areas of concern and provide the Executive with a proposition for an adequate solution
  • Liaise with Managers to obtain appropriate information and instructions
  • Prepare and issue Purchase Orders, ensure the accuracy of costs, obtain approval, follow-up and sign-off on budgeted expenses

 

The Executive’s confidence will rely on the EA capacity to respect and handle the confidential information

  • Discern which information can be shared and communicated to other levels of the organisation
  • Respect strict confidentiality over emails and information regarding strategic, sensitive matters 
  • Communicate in a courteous, respectful and discreet manner to Customers, Providers, Prospects and other external parties
  • Ensure respectful communication and collaboration with all colleagues
Requirements

JOB REQUIREMENTS

  • Education: Bachelor Degree or equivalent
  • Proven experience as an executive administrative assistant, senior executive assistant or in other secretarial position or business management
  • Good command of Khmer and English, both spoken and written. French will be appreciated
  • Excellent knowledge of MS Office
  • Ability to multitask and prioritize daily workload
  • High level verbal and written communications skills
  • Diplomacy and discretions
  • Ability to work in a high-level confidentiality environment
  • Capacity to identify and share accurate information
  • Excellent time and priority management 
  • Capacity to perform in a changing work environment and adapt to expectations 
  • Ability to work under pressure while maintaining high-quality performance and positive attitude

  • Appropriate personal appearance
